Manage your team

Invite teammates, set their role, switch between workspaces, and understand what happens when someone leaves. Everything here lives under Workspace › Team in your app.

Roles at a glance

Can do Owner Admin
Find leads, manage contacts and lists, build templates, send campaigns, read the inbox ✓ ✓
Invite, pause or remove teammates and change their role ✓ ✓ (not the owner seat)
Billing & Credits, buy credits, change plan ✓ –
Rename the workspace ✓ –

All data (contacts, lists, campaigns, templates, credits) belongs to the workspace, not to a person. Teammates in the same workspace always see the same data. There is no limit on the number of admins – only your plan’s seat count.

Step by step

1

Invite a teammate

Go to Workspace › Team, type the teammate’s work email under Invite email, choose a role (Admin is the default), and click Invite teammate.

Why this matters: Each person gets their own login and their own audit trail – never share one password.

Expected result: The invitation appears under Pending invitations and an email is sent automatically. A one-time invite link is shown once so you can also send it over WhatsApp.
If it fails: If the email never arrives, click Resend invitation and copy the link that appears. The link stops working if you cancel the invitation.
2

Accept an invitation (for the teammate)

Open the email and click Accept team invitation. If you do not have a NexlyFlow account yet, choose Create an account and enter the 4-digit code we email you.

Why this matters: You must sign in with the exact email address that was invited.

Expected result: After the code is verified you land straight in the workspace you were invited to – no separate workspace is created for you.
If it fails: If you see “signed in as a different account”, log out and sign in with the invited address. If the link was cut by your email app, copy the whole link from the invitation email into the address bar.
3

Switch between workspaces

If you belong to more than one workspace, a Switch workspace button appears next to your avatar. Pick a workspace from the list – the current one is ticked.

Why this matters: Everything on screen (contacts, campaigns, credits, mailboxes) changes to the selected workspace.

Expected result: The top bar shows the new workspace name and its plan. Your choice is remembered next time you log in.
If it fails: If the button is missing you only have one workspace. Ask the owner of the other workspace to invite you.
4

Rename the workspace (owner only)

On the Team page the owner sees a Workspace name card. Type the new name (2-60 characters) and click Save name.

Why this matters: The name appears on invitation emails and everywhere your workspace is named.

Expected result: A green “Workspace name updated” message and the new name in the top bar.
If it fails: Words like “verified” or “guaranteed” are not allowed in workspace names – pick another name.
5

Change a role, pause or remove a teammate

In the members table use Member role + Update role, or Delete member. You cannot change your own seat, and only the owner can touch the owner seat.

Why this matters: Removing someone revokes their access to this workspace immediately – campaigns and contacts they created stay in the workspace.

Expected result: The member disappears from the table and an entry appears under Recent activity.
If it fails: A removed teammate who logs in again sees a “no workspace” screen and drops to the Free plan. To bring them back, simply invite them again.
6

See who did what

Scroll to Recent activity on the Team page (click Show more for the full list). Campaigns also show a Created by column.

Why this matters: With several people in one workspace you need to know who sent, changed or deleted what.

Expected result: A list of actions with the person, the action and the time. The owner also receives a daily “Yesterday in <workspace>” email whenever something happened.
If it fails: No activity yet is normal for a new workspace. The daily email is only sent on days with activity.
7

Avoid overwriting each other

Nothing to click here – NexlyFlow checks it for you. If two people edit the same template or contact at the same time, the second save is refused.

Why this matters: Silent overwrites are the most common way teams lose work.

Expected result: A message like “This template was changed by Alex at 10:07. Refresh the page and try again.”
If it fails: Refresh, review the other person’s change, then apply yours on top.
